Response time benchmarks
8 minPickRV's search ranking factors include a host's median response time over the last 30 days. Hosts under 1 hour rank highest; under 3 hours is acceptable; over 12 hours suppresses ranking. The benchmark is median, not mean, which means one slow weekend overnight does not destroy the score, but a consistent 14-hour response time pattern does.
The mobile app sends a push notification on every inquiry and booking event. Hosts who turn off notifications miss inquiries and lose ranking; the trade-off is real. If you cannot respond inside 3 hours during weekday business hours, set up a co-host with notification access.
Inquiry-vs-booking is the second response variable. An inquiry — "is the rig available June 10–14?" — deserves a same-day response with a yes/no and a direct booking link. A booking — "I just submitted a request for June 10–14" — deserves a 30-minute acknowledgement with the next-step expectations.

The first-message template
10 minA good first message has four sections in roughly 80 words: (1) acknowledgement of the booking and the dates, (2) one-line confirmation of pickup time and address, (3) two-line summary of what the renter should bring or expect, (4) an invitation to call or message with questions. The fifth section — the host's signature — is optional but helpful. A renter who knows the host's first name and city humanizes the transaction.
What the first message should not do: oversell the rig, repeat the listing description, ask for personal information not already on the booking. PickRV's booking flow collects what the host needs. A first message that asks for the renter's driver's license a second time is a red flag — renters interpret it as either disorganized or fraudulent.
Template: "Hi {renter}, thanks for booking the {rig name} for {dates}. Pickup is at {address} at {time} — I'll send a final confirmation 24 hours before. Plan to bring linens (one set per bunk) and your campsite reservation confirmations; everything else lives in the rig. Call or message me anytime with questions. — {host first name}, {city}"

The four common requests
10 minRequest 1: "Can we add a small dog?" A pet-friendly rig should publish the pet fee and the policy on the listing. A non-pet rig can decline; this is not a discrimination issue. The honest answer is "the rig is not currently pet-friendly" without further explanation.
Request 2: "Can we extend by one day?" The mid-trip extension is the host's call. If the rig is booked for the next day, the answer is no with no apology; if it is open, the host can extend at the existing nightly rate or at a small premium. PickRV's vendor dashboard supports a mid-trip extension flow that handles the deposit and payment cleanly.
Request 3: "Can we pick up earlier?" If the rig is back from the previous rental and clean, yes; if it is not, no. The honest "we just pulled in from the previous renter and need the day to clean" is acceptable. Renters respect a clean rig more than they resent a four-hour wait.
Request 4: "What's actually included?" The PickRV listing has an itemized inclusions section; the request usually means the renter has not read it carefully. A friendly link to the listing inclusions, plus one sentence confirming the most-commonly-asked item (linens, sometimes; cookware, always; firewood, never), resolves the question.

The difficult call
12 minThree calls that you will eventually make: the early-departure call ("the renter is bringing the rig back two days early"), the damage call ("the renter has damaged a window awning"), the late-return call ("the renter is 6 hours past return time and not answering").
Early-departure: confirm with PickRV's dispute team before any refund. The default is no refund for the unused nights; the exception is a documented major mechanical failure. Politeness without commitment is the right tone — "we'll close the booking on time and review any specific requests with PickRV."
Damage: photograph the damage at handoff with the renter present, file an incident report through the vendor dashboard within 24 hours, and let PickRV's dispute process handle the deposit deduction. Do not negotiate the deposit at handoff; the renter is on their way home and the negotiation will be emotional.
Late-return: at 1 hour past return, send a polite text. At 3 hours past, escalate to PickRV's support line. At 6 hours past, file a missing-vehicle incident; this triggers PickRV's recovery process and notifies the insurance carrier. Do not drive to look for the rig; that is a separate liability.
